CheckInBo ("we," "us," or "our") is a Discord bot designed to help teams, groups, and communities manage daily check-ins, track member participation, and display leaderboards. This Privacy Policy explains how we collect, use, store, and protect information when you use CheckInBo through Discord or visit this website.

By inviting CheckInBo to your Discord server, using any of its commands, or accessing this website, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this policy, please do not use CheckInBo.

CheckInBo is an independent service and is not affiliated with, endorsed by, or sponsored by Discord Inc.

2. Information We Collect

2.1 Information You Provide Through Discord

When you interact with CheckInBo, we may collect the following information:

  • Check-in content: The text, links, and images you submit when using the c.c command, including any evidence required by server admins.
  • Discord user identifiers: Your Discord user ID, username, display name, and server nickname as provided by the Discord API.
  • Server and channel identifiers: The Discord server (guild) ID and channel ID where CheckInBo is used and where commands are executed.
  • Admin configuration data: Settings configured by server admins, including deadlines, timezone preferences, evidence requirements, minimum word counts, banned user lists, and admin role assignments.

2.2 Automatically Collected Information

CheckInBo automatically collects and stores certain data to provide its core functionality:

  • Check-in records: Timestamps of when check-ins were submitted, whether a check-in was completed before the deadline, and daily participation status.
  • Leaderboard data: Cumulative check-in counts, missed check-in counts, and streak information per user per channel.
  • Command usage logs: Records of commands executed, including the command used, the user who executed it, and the channel in which it was used.
  • Ban records: Information about users who have been banned from checking in by server admins.

2.3 Website Information

When you visit this website, we may collect:

  • Standard log data: Your IP address, browser type, referring page, pages visited, and the date and time of your visit, as typically recorded by web hosting services.
  • Cookies: This website does not currently use tracking cookies or third-party analytics. If this changes, we will update this policy accordingly.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing the service: Processing daily check-ins, tracking participation, generating leaderboards, and sending automated daily summaries at configured deadlines.
  • Enforcing server rules: Applying admin-configured requirements such as evidence submission, minimum word counts, user bans, and deadline enforcement.
  • Displaying public information: Showing check-in status, leaderboards, and streaks to members within the relevant Discord channels.
  • Admin functionality: Enabling server admins to manage check-in settings, adjust counts, reset leaderboards, and manage bot admin permissions.
  • Service improvement: Analyzing usage patterns in aggregate to improve bot reliability, fix bugs, and develop new features.
  • Legal compliance: Complying with applicable laws, regulations, and legal processes.

We do not use your data for advertising, sell your personal information to third parties, or use check-in content for purposes unrelated to providing the CheckInBo service.

4. Data Storage and Retention

4.1 Where Data Is Stored

CheckInBo data is stored on secure servers used to operate the bot. Data is associated with specific Discord servers and channels and is only accessible to CheckInBo's systems and authorized server admins through bot commands.

4.2 Retention Periods

  • Daily check-in data: Resets at each configured deadline as part of the daily summary process. Historical daily records may be retained in aggregated leaderboard counts.
  • Leaderboard data: Retained until reset by a server admin using the c.lr command, or until the bot is removed from the server.
  • Server configuration: Retained for as long as CheckInBo remains in the server. Deleted when the bot is removed from the server.
  • Check-in message content: Stored for the duration of the daily cycle and may be included in daily summaries posted to the channel. We do not permanently archive full check-in message content beyond what is needed for leaderboard tracking.

4.3 Data Deletion

When CheckInBo is removed from a Discord server, all server-specific configuration data, leaderboard data, and associated records for that server are deleted from our systems within a reasonable period. Individual users may request deletion of their personal data by contacting us (see Section 12).

5. Data Sharing and Disclosure

We do not sell, rent, or trade your personal information. We may share information only in the following circumstances:

  • Within your Discord server: Check-in status, leaderboards, and daily summaries are posted publicly within the channels where CheckInBo operates, visible to all members with access to those channels.
  • Service providers: We may use third-party hosting or database providers to operate CheckInBo. These providers are bound by contractual obligations to protect your data and may only process it on our behalf.
  • Legal requirements: We may disclose information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, user data may be transferred as part of that transaction. We will notify affected users of any such change.

6. Discord Platform Data

CheckInBo operates within the Discord platform and accesses data through Discord's API in accordance with Discord's Terms of Service and Discord's Privacy Policy.

Data we receive from Discord includes:

  • User IDs, usernames, display names, and server nicknames
  • Server (guild) IDs and channel IDs
  • Message content submitted through bot commands
  • Attachments (images) submitted as check-in evidence
  • Server member role information relevant to admin command authorization

We only request the Discord permissions necessary to provide CheckInBo's functionality. We do not access private messages, messages in channels where the bot has not been given access, or data beyond what is required for the commands you use.

7. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal data:

  • Access: You may request a copy of the personal data we hold about you.
  • Correction: You may request correction of inaccurate data. Server admins can also update display names using the c.n command.
  • Deletion: You may request deletion of your personal data. Note that leaderboard entries and check-in records are tied to your Discord user ID and may persist until an admin resets them or the bot is removed from the server.
  • Restriction: You may request that we restrict processing of your data in certain circumstances.
  • Objection: You may object to certain types of data processing.
  • Data portability: You may request your data in a structured, machine-readable format where technically feasible.

To exercise any of these rights, contact us using the information in Section 12. We will respond within 30 days. You may also leave any Discord server using CheckInBo to stop further data collection related to that server.

8. Children's Privacy

CheckInBo is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. Discord's Terms of Service require users to be at least 13 years old (or the minimum age in their country). If we become aware that we have collected data from a child under 13, we will take steps to delete that information promptly. If you believe a child under 13 has provided us with personal data, please contact us immediately.

9. Security

We implement reasonable technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction. These measures include access controls, secure data storage, and limiting data access to what is necessary to operate the service.

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security. If you become aware of any security issue related to CheckInBo, please contact us immediately.

10. International Data Transfers

CheckInBo may be operated from servers located in the United States or other countries. If you are accessing CheckInBo from outside the United States, your data may be transferred to, stored, and processed in the United States or other jurisdictions where our service providers operate.

By using CheckInBo, you consent to the transfer of your information to countries that may have different data protection laws than your country of residence. Where required, we take steps to ensure appropriate safeguards are in place for such transfers.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will update the "Last updated" date at the top of this page.
